What we collect when you visit this website or contact us, why, and what you can do about it.

Who we are

This website is run by 2brdge Ltd, trading as Kybix (“Kybix”, “we”, “us”). We are a company registered in England and Wales under company number 16780367, with our registered office at 167-169 Great Portland Street, 5th Floor, London W1W 5PF.

We are the controller of the personal data described in this policy. For anything to do with your data, including exercising any of your rights, email us at info@kybix.com.

This policy covers the website at www.kybix.com. It does not cover the Kybix platform itself, which is provided to organisations under separate agreements.

What we collect

When you contact us

If you fill in the form on our Contact page, we collect what you give us: your first and last name, work email address, phone number, company, job title, country, organisation type, how you heard about us, and your message. Only your name and work email are required. We also record when you sent it.

When you visit the site

Like any web server, ours records basic technical details of each request: your IP address, the page requested, the time, and what browser you use. We use this only to keep the site running and secure. Your IP address is also used, for up to 15 minutes, to limit how many times the contact form can be submitted from one place.

Analytics, if you accept

If you accept analytics cookies, we use Google Analytics to understand how the site is used: which pages are visited, how visitors arrived, roughly where they are (to country or city level), and what device and browser they use. Google Analytics does not give us your IP address or anything that tells us who you are. If you reject analytics cookies, or do not choose, Google Analytics is not loaded at all.

Spam protection on the contact form

The Contact page uses Google reCAPTCHA to tell people from automated spam. To do that, Google receives information such as your IP address, browser details and how you interact with the page. Google’s use of this data is covered by its Privacy Policy and Terms of Service.

Where we rely on legitimate interests, we have weighed them against your rights and expectations. You can object at any time (see “Your rights” below). If we send you information about Kybix, you can opt out whenever you like, using the link in the email or by writing to us.

We do not sell your personal data, and we do not make decisions about you that have legal or similarly significant effects by automated means alone.

Who we share it with

We share personal data only with service providers who process it on our behalf, under contract, and only for the purposes above:

  • HubSpot, our customer relationship management system, which receives contact form submissions. Our HubSpot account is hosted in HubSpot’s EU data centre in Germany.
  • Microsoft Azure, which hosts this website in the European Union.
  • Google, for Google Analytics (only if you accept) and reCAPTCHA.

We may also disclose personal data to our professional advisers, where the law requires it, to protect our legal rights, or to a buyer or successor if our business is reorganised or sold.

International transfers

We are based in the UK and the site is hosted in the EU, which the UK recognises as providing adequate protection. Some of our providers, including Google, HubSpot and Microsoft, are headquartered in the United States and may process data there. Where that happens, the transfer is protected by the EU-US Data Privacy Framework and its UK Extension, or by the standard contractual clauses approved by the European Commission and the UK’s International Data Transfer Addendum.

How long we keep it

  • Enquiries and contact details: for as long as we are in discussion with you. If we have had no contact with you for two years, we delete them, unless you have become a customer, in which case our agreement with you sets how long we keep them.
  • Analytics data: no more than 14 months in Google Analytics.
  • Server logs: only as long as needed for security and troubleshooting.
  • Your cookie choice: 12 months, after which we ask again.

Cookies

Cookies are small files a website stores in your browser. We use one cookie of our own to remember your choice. Analytics cookies are set only if you accept them. You can change your mind at any time with the “Cookie settings” link at the bottom of every page.

If you reject analytics cookies after accepting them, we stop Google Analytics and remove its cookies. You can also block or delete cookies in your browser’s settings.

Your rights

Under UK and EU data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct it if it is wrong or incomplete;
  • ask us to delete it;
  • ask us to restrict how we use it;
  • object to our using it on the basis of legitimate interests, and to stop receiving information about Kybix at any time;
  • receive the data you gave us in a portable format;
  • withdraw your consent to analytics cookies at any time, without affecting what happened before.

To exercise any of these, email info@kybix.com. We will reply within one month. We may need to confirm your identity first.

If you are unhappy with how we have handled your data, please tell us so we can try to put it right. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk, 0303 123 1113) or, if you are in the EU, to the data protection authority in your country.

Children

This website is intended for businesses and is not directed at children.

Changes to this policy

We will update this policy when what we do with personal data changes, and change the date at the top of the page when we do.
